Main Functions

• Answer the telephone calls received, directing them to the responsible people and departments, take notes and transmit messages, when necessary; in addition to keeping the numbers of corporate, internal and external contacts up to date.
• Receive visitors and identify them, providing them with information and forwarding them internally, after they are announced.
• Track meeting room bookings through the online booking system through Teams.
• Request mail and external provider, as demanded, directing correspondence to the responsible departments, guiding them as to internal processes; in addition to feeding the tracking spreadsheet keeping the information up to date.
• Make requests for Requests for weekly cleaning materials according to the need specified in the cleaning checklist.
• Make requests for maintenance services from the GCH sector and Support Service, using SIGMA, and monitor their performance.
• Monitor and control the number of daily meals, keeping in touch with the departments in order to verify the daily demand, recording the information in the control spreadsheets; in addition to sending the information regarding the closing of the Headquarters and Branch to the financial department.
• Monitor the stock of uniforms in spreadsheets, incoming and outgoing quantity, end of life, disposal and return in terminations; as well as deliver them, when necessary.
• Prepare documents, labels, communications and other internal demands, as requested and necessary.
